What Is AI Engine?

AI Engine is an account-level add-on for Follow Up Ace that automatically analyzes your entire Follow Up Boss contact database. While Ace chat works on one contact at a time, AI Engine works in the background across all your contacts — scoring leads, flagging at-risk relationships, and writing AI-generated intelligence back to FUB as custom fields your whole team can use.

It's the difference between asking "how is this one contact doing?" and "show me every contact in my database who's most likely to transact in the next 90 days."


What AI Engine Does

  • Engagement scoring: Every contact in your FUB database gets a 0–100 Ace Engagement Score that reflects the health of your relationship based on recency, frequency, and quality of contact activity
  • At-risk detection: Flags contacts with declining scores or widening follow-up gaps before they go cold
  • Next-best-action suggestions: Writes a recommended follow-up action directly to each contact's custom field in FUB
  • AI timeline summaries: Generates a one-paragraph summary of the relationship with each contact — readable in seconds during prep for calls or showings
  • Queryable via Ace chat: Once AI Engine is active, Ace chat can answer questions about your whole database: "Who has an engagement score below 20 and hasn't been contacted in 30 days?"

Is AI Engine Right for You?

AI Engine adds the most value when:

  • You have 500+ contacts in FUB that are impractical to review manually
  • You want prioritized follow-up lists without manually exporting and sorting
  • You're managing a team and want visibility into relationship health across all agents
  • You want your CRM data to surface insights automatically rather than waiting for agents to notice gaps

If you have a small, tightly managed CRM (under 200 contacts) and review every contact regularly, AI Engine adds less marginal value — standard Ace chat likely covers your needs.


Pricing

AI Engine is billed separately from seat pricing, at the account level, based on your total FUB contact count:

Your tier is selected automatically during activation based on your current FUB contact count. If your contact count grows into the next tier, you'll receive a notification before your next billing cycle.

Requires at least one active paid Ace seat (Regular or Pro). AI Engine cannot be activated on a free-only account.


Activating AI Engine

  1. Go to app.followupace.com/admin
  2. Click AI Engine (or Account AI) in the left sidebar
  3. Click Activate AI Engine
  4. Review your contact count and confirm your tier and monthly price
  5. Click Confirm and Activate

After activation:

  • Initial analysis runs automatically. For most accounts, this takes 20–45 minutes
  • You'll see a progress indicator in the AI Engine section of the dashboard
  • AI Engine custom fields will start appearing on contacts in FUB as analysis completes
  • Ace chat gains the ability to query AI Engine data immediately after activation

AI Engine Custom Fields in FUB

When AI Engine analyzes a contact, it writes the following custom fields to that contact record in FUB:

These fields only appear on contacts that AI Engine has analyzed. Fields are updated as new activity is logged — a call, email, property search, or note on a contact triggers a re-analysis within 24 hours. You can also request an immediate manual refresh from the AI Engine dashboard.


Using AI Engine Data in Ace Chat

Once AI Engine is active, you can ask Ace account-wide intelligence questions:

  • "Who has an Ace Engagement Score below 20 and hasn't been contacted in 30 days?"
  • "Show me all contacts flagged as High Risk by Account AI"
  • "Who has the highest engagement score in my database with no task scheduled?"
  • "Which of my buyers had new property search activity this week but haven't been contacted?"
  • "Which stage has the most contacts with declining engagement?"

Deactivating AI Engine

You can cancel AI Engine from BillingManage AI Engine in the admin dashboard.

  • Deactivation takes effect at the end of the current billing period
  • AI Engine custom fields remain on contacts in FUB — they will no longer update after deactivation
  • Re-activating at any time restores full functionality with a fresh analysis cycle
