Getting Started with Follow Up Ace — Admin Complete Guide

What is Follow Up Ace?

Follow Up Ace (Ace) is an AI assistant that lives inside Follow Up Boss. It helps your team work faster by reading their CRM data, drafting follow-ups, creating tasks, and coaching next actions — without anyone leaving FUB. Every agent on your plan gets their own AI assistant embedded directly in the Follow Up Boss interface.

This guide covers everything an account admin needs to get from zero to fully operational.


Setup Overview (4 steps)

Step 1: Connect Follow Up Boss

  1. Sign in to your Ace Admin Portal at app.followupace.com
  2. Go to Account SetupConnect FUB
  3. Click Connect Follow Up Boss — you'll be redirected to FUB for OAuth authorization
  4. Log in to FUB with your Owner or Admin account and click Authorize
  5. You'll be returned to the Ace Admin Portal with FUB shown as connected

Why this matters: Ace cannot read your CRM or help your team until FUB is connected. This is the required first step — all other features depend on it.

Step 2: Assign Seats to Your Team

  1. Go to Team Members in the left sidebar
  2. Your FUB users sync automatically after OAuth is connected
  3. Click the toggle next to each user to activate them on Ace
  4. Activated users are assigned a seat from your available pool

You purchase seats from the Billing page (Regular at $25/mo or Pro at $55/mo per seat). Seats are pooled — you assign them to users from Team Members, not at purchase time.

New accounts: you may have a trial seat available. Assign it to yourself first and test the experience before rolling out to your team.

Step 3: Configure Ace for Your Team (optional but recommended)

From the admin dashboard, go to AI Configuration to customize how Ace behaves for your whole account:

  • System Prompt: Give Ace instructions it follows in every conversation — your market, communication style, brokerage constraints. Keep it under 200 words.
  • Display Name: Change "Ace" to your brand name if preferred
  • Feature toggles: Enable or disable voice chat, contact lookup, and other features by role

Step 4: Activate AI Engine (optional add-on)

The AI Engine is an optional paid upgrade that runs automated batch analysis on your entire contact database: lead scoring, at-risk relationship detection, next-best-action suggestions, and AI-generated summaries written back to FUB as custom fields.

It's separate from seat pricing and billed by contact count (see pricing below).

To activate: Admin Portal → AI Engine → Activate. Initial analysis takes ~30 minutes.
