Embedded App Basics
Ace lives directly inside Follow Up Boss as an embedded app — no separate tab, no switching tools. This article covers how the embed works, what to expect, and how to get the most out of it from day one.
What Is the Embedded App?
The Ace embedded app is a chat panel that appears inside Follow Up Boss. It connects directly to your CRM data, so you can ask questions and take action without ever leaving FUB.
When your admin sets up Ace for your team, each agent gets access to the embed — either for all contacts or for their own assigned contacts, depending on how your account is configured.
Where to Find It
Ace appears as a chat icon or panel inside Follow Up Boss. Depending on your FUB setup, you'll typically see it:
- As a button or panel on the right side of a contact record
- Embedded directly in the FUB interface (not a pop-up or separate window)
If you don't see Ace in your FUB, ask your team admin — they control which users have access and how the embed is placed.
How the Embed Works
It knows who you're looking at
When you open a contact in Follow Up Boss, Ace automatically loads that contact's context. You can immediately ask:
- "Tell me about this person"
- "What's their recent activity?"
- "Create a follow-up task for tomorrow"
No need to type the contact's name — Ace already knows who you're on.
Your login is your access
Ace uses your Follow Up Boss login to determine what you can see and do. If FUB restricts you from seeing a contact (for example, contacts assigned to other agents), Ace respects those same restrictions. You'll only see data your FUB account has permission to access.
Sessions are per-browser-tab
Each time you open the embed, Ace starts a fresh conversation. Your chat history isn't saved between sessions — but your CRM data (notes, tasks, contacts) is always in FUB. If you need to remember something from a conversation, add a note to the contact: "Add a note: [whatever you discussed]."
What Ace Can See
Through the embedded app, Ace has access to your FUB data including:
- Contact profiles — name, phone, email, address, tags, stage, source, custom fields
- Notes — full text of all notes on the contact
- Activity timeline — calls, emails, texts, property views, registrations
- Tasks and appointments
- Deals and pipelines
- Action plans and templates
- Smart lists, stages, and users (for search and filtering)

What Ace Can Do
The embed isn't just for reading data — Ace can take action on your behalf:
- Create tasks — "Create a follow-up call for Thursday at 2pm"
- Add notes — "Note: they're pre-approved for $450k and want to close in 60 days"
- Update contact info — "Update their stage to Active Buyer"
- Add/remove tags — "Tag as investor"
- Schedule appointments — "Schedule a buyer consultation for Tuesday"
- Manage deals — "Create a deal for 123 Main St at $575,000"
- Apply action plans — "Apply the New Buyer action plan"
- Draft and send emails/texts (Pro) — always shows a draft for your approval first
Things to Know
Ace always confirms before acting
Before Ace creates a task, sends an email, or sends a text, it will show you a preview and ask for confirmation. Nothing goes out until you say yes. If you change your mind, just say "cancel" or "never mind."
Access follows FUB rules
If you're a non-admin user in FUB, you'll only see contacts you have access to — contacts assigned to you, contacts you collaborate on, or contacts in a shared pond. This is working as designed, not a limitation of Ace.
One contact at a time
The embed is designed for working a single contact at a time. You can ask account-wide questions (like "who hasn't been contacted in 30 days?"), but Ace is most powerful when you're on a specific person's record.
It's not a live feed
Ace reads your CRM at the time you ask. If you make a change in FUB after opening the embed, ask Ace to "refresh" or re-ask your question — it will pull the latest data.
