Getting Started as an Ace User — Agent Quickstart

This guide gets you productive in 10 minutes. Follow the steps, run the example prompts, and you'll be up and running fast. You don't need to read every word — just start at Step 1 and go.


Step 1: Open Ace in Follow Up Boss

  1. Log in to Follow Up Boss as usual
  2. Look for the Ace chat icon in the bottom-right corner of your FUB screen
  3. Click it — the Ace panel opens on the right side of your screen

Using Ace with a contact open: Navigate to any contact in FUB and Ace immediately knows who you're looking at. Ask "summarize this person" and you'll get their full profile — no need to specify who you mean.

No contact open: Ace still works for account-wide questions: your task list, pipeline questions, contact searches, and more.


Step 2: If You See a Connection Prompt

If you see a prompt asking you to "Connect Follow Up Boss," this is a session token that needs a one-click refresh. Click the prompt — it reconnects in a few seconds, no password required.

If you see a message saying your admin needs to complete setup, contact your account owner and let them know you're ready to get started. They'll need to assign you a seat from the admin dashboard.


Step 3: Run These First

Open any contact in Follow Up Boss, then type each of these into Ace:

"Tell me about this person"

Ace pulls their complete profile: contact info, lead source, current stage, tags, last activity, recent notes, pending tasks, and any deals. This is your fastest way to get up to speed before a call.

"What's their recent activity?"

Shows the full timeline: calls, emails, texts, property searches, showings. Useful when you need context before reaching out to a contact you haven't touched in a while.

"Draft a follow-up email"

Ace writes a personalized email based on the contact's history — their last interaction, where they are in the buying/selling journey, and what a natural next touch looks like. Review it, edit if needed, and send from FUB.

"What should I do next with this person?"

Ace evaluates the contact's current state and recommends a next action: a call, a text, a task, an email — with a brief explanation of why.

"Add a note: [your note text here]"

Instantly logs a note to the contact. Ace confirms before saving. Faster than navigating to the note field manually.


How Ace Works Day to Day

Context-aware by default

With a contact open in FUB, every question you ask is about that person. Switch to a different contact in FUB and Ace's context switches with you. To ask about someone specific while elsewhere, just say their name: "What's the status on Sarah Johnson?"

Ace always confirms before acting

When you ask Ace to create a task, send an email, or log a text, it always shows you a draft first and asks "Should I send/create this?" Nothing is sent, created, or changed until you say yes. You stay in control.

Sessions are fresh each time

Each time you close and reopen the Ace panel, the conversation starts fresh. Ace re-reads your CRM live on every session, so the data is always current — but it won't remember what you discussed in a previous chat.


Prompts That Work Well

Looking up contacts

  • "Who hasn't been contacted in the last 30 days?"
  • "Show me my leads tagged 'hot buyer'"
  • "Find contacts in the Active Buyer stage under $400k"
  • "Is there a duplicate for this contact?"

Managing your day

  • "What tasks do I have due today?"
  • "What's overdue from this week?"
  • "Create a call task for Thursday at 10am"

Drafting communications

  • "Draft a follow-up email after our showing yesterday"
  • "Write a re-engagement text for a lead who's been quiet for a month"
  • "What did we last talk about?" — pulls full call/email/text history
  • "Give me three bullet points I can use to open a call with this buyer"

Working your pipeline

  • "Show me my active deals"
  • "Move this contact to the Active Client stage"
  • "Apply the New Buyer action plan to this contact"
  • "Which of my listings have had no showing in the last 10 days?"

Regular vs. Pro

  • Regular — full CRM access, tasks, notes, deals, email drafting, call/email/text metadata
  • Pro — everything in Regular plus: full call transcripts, direct email/SMS sending from Ace, AI timeline summaries, voice chat

Quick Tips

  • Be specific about timing: "Create a task for next Monday at 9am" works better than "schedule something"
  • Use names naturally: "What's going on with the Martins?" works just as well as using a contact ID
  • Stack questions: "Summarize this contact and tell me what I should do next" is one message, not two
  • Cancel any action: If Ace is doing something and you change your mind, say "stop" or "never mind"
  • Ask about your whole account: "How many contacts do I have in the Nurture stage?" — Ace pulls live data on your whole CRM
